This guide is to help DM's to add their sessions to the sign-up system.
Session creation timeline:
To give players an opportunity to read through all the available adventures, we recommend that you add all your sessions in the sign-up system at the beginning of the month, before the open night on the first wednesday of the month. Because after that, players can start signing up to sessions, and if you haven't created your sessions by then, they might not choose your session as their 1st, 2nd or 3rd choice.
You do not need to have your entire session prepared already, you just need a general idea of what you're going to run. Can always modify you session's description right up until the sign-up deadline.
Deadlines:
The deadline to submit or modify a one-shot session is at 23:59h on Saturdays
The deadline to submit or modify a multi-shot session is at 23:59h on the Saturday before the 1st session of your multi-shot.
Submitting a New Adventure
To propose a session for the upcoming sign-up week, simply follow these steps:
Log in to Signup.Spelslot.nl.
Navigate to the bottom of the main page and click the "Make a New Adventure" button.
Fill in the required fields with the following information:
Session Title: The name of your adventure.
Short Description: A brief, engaging summary or teaser of what the players will be doing.
Max Players: The maximum number of players you can comfortably run for the session.
Date (Start Date): The specific date your session will begin.
Number of Sessions: Set this to 1 (One-shot), 2, 3, or 4. Setting it to anything other than 1 will automatically copy your adventure to the following weeks, maintaining consistency for a short campaign. So don't add additional sessions during those weeks.
Engagement Icons: Set the expected level of Combat (Dragon), Exploration (Dungeon Gate), and Roleplay (Mask) on a scale of 1 to 3 icons.
Requested Room: Your preferred room for running the session. This is a preference and is not guaranteed (see Room Assignment below).
Tags: Keywords to help players filter and understand your session (e.g., Story, Factions, Locations, Monsters). You can input multiple tags by separating them with a comma (,).
Room Assignment Priority
Room assignments are handled automatically after the sign-up deadline and follow a strict priority system to ensure consistency, especially for ongoing Story sessions:
Story DM with Stored Room: Story DMs who request their pre-assigned, "stored" room are guaranteed to receive it.
Story DM with Different Room: Story DMs who request a different room (one that is not their stored room) will be assigned it, provided the room has not already been taken by a higher-priority DM.
DM with Preferred Room: DMs who request a specific room will be assigned it, provided the room is still available.
DM with Random Room: Any remaining DMs are assigned an available room randomly.
Modifying Your Adventure
You retain full control over your session details until the deadline. But keep in mind that starting on Thursday night at 00:01h sign-ups open for the next session, so modifying a session might create confusion to those who've already signed up.
DM Changes: As the session creator, you can edit any information about your adventure up until the Sign-Up Deadline (Saturdays 23:59h).
Admin Changes: Admins have the ability to modify any adventure details at any time.
